Client Requirements: Creating
Chinese InDesign Files for Printing and Publishing

Client Background: Global
communication services in over 150 languages. 30 years of experience in the
technology, legal, medical, education and defense sectors.

Project Summary:

Client: US-based Leading Language Service Provider

Service: DTP InDesign

Discipline: Medical

File format: WORD document and PDF

Volume: 293 pages (final cost was based on a page)

TAT (Turnaround Time): 18 Natural Days

 

Challenges:

Availability of DTP (Desktop Publishing) Department

Because of
the large volume pages and short turnaround, we have to discuss with DTP
workmate to work out an efficient timeline and output, then send it to the client.

Creating a Detailed Instruction

Before
sending a quote to the client, I need to review everything which was mentioned in
the email so that I can tell DTP department the client’s requirement clearly
and no missing any one of them.

In the
instruction list, both of DTP and I need to check and review font, page size,
punctuation, page number, translated contents, and etc. We need to keep
everything correct designed before printing and publishing.

Strict Workflow in a Fast Turnaround Time

As previously
mentioned, there are only 18 natural days for finishing the whole project from
listing instruction to publishing. In these days, there are nearly 2 weekends
and the DTP department should be standby if any comment received from the client.

The workflow
is listing an instruction, detailed discussion with DTP, draft delivery,
client’s review/comment, DTP and I check comments and update INDD files, final
delivery.

How CCJK Overcame the Challenges?

Putting Together a Specialized DTP&Review Team

Selection of correct The INDD team was key to this project. A total of two stakeholders were involved
in its’ operations – DTP expert and final reviewer. The team included a perfect
combination of English and native simplified Chinese language experts, in
addition to an experienced INDD DTP workmate.

Dedicated Project Lead

A dedicated the project lead was assigned for this project to coordinate with both, the operations team and the client to ensure zero delays and that all last minute
changes and updates were taken care of.

24x7 Client Support and Synchronized Work Schedules

Both reviewer
and DTP team were available to the client 24x7 for the duration off this
project to ensure frictionless progress. This project was a perfect example of
the client’s team and our working together in sync to meet the requisite
deadline.

Final Summary

Though my
team including reviewer and DTP worked very late in several days, my team
members still feel honor to work with this client. I remembered that
sometimes we worked from day and night, sometimes a whole night until 7:00 am
the second day in order to meet the client’s deadline. The time difference is 15
hours.

Things are
difficult before they are easy. Thanks for the support and trust from the client
all the time. This October, my team got a similar INDD project again from this
client. We know we do the best, always.
